  • What types of supporting documents and audio/visual content does the audience prefer? Items such as screenings or handouts that are preferred or available by that audience.

  • How much presentation time should be available for questions and answers at the end? Most presentations are followed by questions and answers from the audience to the speaker, and knowing the desired time frame allows for better timing of prepared talking points.

2. Get ready your presentation by thinking about both the beginning and the end, then adding a detail in the middle that supports your strong beginning and end. Now that you know what you need to say and are aware of the limitations of your visual aid, think about how you can make the presentation memorable by developing any visuals that can accompany the presentation and making sure their flow matches the presentation. When developing visuals, remember that you don’t want people fumbling with handouts or pointing out spelling mistakes when you could be listening. As you prepare, consider what the presentation plan form in the book “RA!RA! A Meeting Wizards’ Approach” suggests as possible outline questions for a brief presentation:

  • Why are we here? Presentation of reasons is necessary or desirable at this time.

  • What did we do? History, work or statistics related to the purpose or presentation.

  • What are we going to do? Possible future results or actions as a result of the presentation or a decision to be made based on the presentation.

  • What did we learn? Summary of presentation or recommendation.

  • What do we have to share? Stories, statistics, charts or other data to prove points.

  • What do we need? Resources to facilitate presentation and discussion or to take action.
